- Business owners: Name, email address, phone number, business name, and the configuration and data of any calendar, booking, or practice-management system you connect (such as Google Calendar, Square Appointments, Cliniko, Halaxy, Dentally, or ServiceM8). For Custom Front Desk builds we may also connect a CRM or other system you nominate (such as HubSpot, Salesforce, Pipedrive, Zoho, or your own backend).
- Callers (your clients): Name, phone number, appointment or job details, and the content of the call. Because G'day Desk answers calls with an AI voice, calls may be recorded, transcribed, and summarised to provide and improve the service. Where a caller sends a photo or message (for example, an MMS photo of a job to be quoted), we process that image or message in order to respond.
- Enquiry leads: Where you enable our instant-callback feature, we receive the name, phone number, and enquiry details a person submits through your online enquiry form so the AI can call them back on your behalf.
- Website visitors: Name, email, phone number, and business name submitted via our contact form. We also collect anonymised usage data through Google Analytics.
3. How We Use Your Information
We use personal information to:
- Provide and operate the G'day Desk AI front desk service — answering calls, booking and rescheduling appointments or jobs, and routing calls to the right person
- Create and manage appointments on your connected calendar, booking, or practice-management system (e.g. Google Calendar, Square Appointments, Cliniko, Halaxy, Dentally, or ServiceM8)
- Generate quotes and estimates — including reading a photo a caller sends — and send written quotes or SMS booking confirmations to your clients
- Call back people who submit your online enquiry forms, where you enable that feature
- Produce call transcripts, summaries, and daily activity digests for you
- Respond to enquiries submitted through our contact form
- Improve our service and website experience
- Comply with legal obligations
4. How We Store and Protect Your Information
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Data is stored securely on servers hosted in Australia and is encrypted in transit using TLS. Call recordings, transcripts, and booking records are retained only for as long as needed to provide the service and meet our legal obligations, and are then deleted or de-identified.
5. Third-Party Services
We use the following third-party services that may process personal information:
- Calendar, booking & practice-management systems: Google Calendar, Square / Square Appointments, Cliniko, Halaxy, Dentally and ServiceM8 (and others we add over time, such as Monday, Fresha, Mindbody and Core Practice) — to manage bookings and jobs when connected
- Custom integrations: For Custom Front Desk builds, any CRM or system you nominate (such as HubSpot, Salesforce, Pipedrive or Zoho) — to manage leads and bookings when connected
- Telephony provider (Twilio): To receive, place, and route phone calls and send SMS messages
- AI voice & language processing: To understand callers, transcribe calls, and generate spoken and written responses
- Google Analytics: To analyse website traffic (anonymised data)
- FormSubmit.co: To process contact form submissions
Each third-party service is subject to their own privacy policies.

We do not sell, rent, or trade personal information. We may disclose personal information where required by law, regulation, or court order.
